Congratulations on joining us here at Minnesota State University, Mankato! Here you will find a few of the things you'll want to be aware of in order to ensure your employment gets off to a smooth start.

Before Your First Day Of Work

Before your first day of work you should receive a packet containing employment documents. This packet contains instructions regarding your employment paperwork. Read and follow all instructions and return appropriate documents as indicated in your packet. In addition, new hires will receive a welcome email containing a secure link to create an online profile where personal information will be entered for the payroll system.

Only after your employment documents have been received and entered into the payroll system can you begin receiving your paycheck, obtain your ID card (MavCARD), and activate your Minnesota State Mankato account granting access to Minnesota State Mankato systems including computers, e-mail, servers, etc. To find out if your documents have been processed call your department.

No Later Than The First Day Of Employment

No later than the first day of employment, go to Human Resources, 336 Wigley Administration Center, to complete and sign your I-9 Employment Verification form. You will also be required to provide document(s) to prove your eligibility for employment in the U.S. Only genuine, original, unexpired documents from the List of Acceptable Documents can be accepted. It is advised that you carefully read the Instructions for Form I-9 and review the List of Acceptable documents to ensure you are meeting the legal requirements. If you forget to bring your document(s) or they are determined to not meet the legal criteria, you will have 3 additional days from your first day of employment to provide the document(s). International faculty or employees with questions should contact Human Resources for assistance at 507-389-2015. If you need visa assistance, please contact Brian Breck at brian.breck@mnsu.edu.

Note: If your employment is at a remote location within the U.S. and you are not able to physically come to campus, your hiring manager will provide additional guidance for completing the required I-9 information as a remote hire.

Get A Parking Permit

You may purchase a parking permit if needed. Additional information on local bus, shuttle, and other transportation options is also available via the Maps and Transportation webpage.

Get An ID Card (MavCARD)

Everyone employed by the University should obtain a University ID card, referred to as the MavCARD. The MavCARD is required to utilize various university services, to obtain certain discounts, as well as provide access to certain campus facilities. In some cases you may need to have a MavCARD to access the facility where you will be working. You can obtain a MavCARD at the MavCARD office located on the main floor of the Student Union, phone 507-389-1707. Please bring your driver's license with you to verify your identification.

Access StarID, E-mail, and University Systems

New to Minnesota State Mankato: You will need a STAR ID to access University systems such as E-services, E-time, Minnesota State University e-mail*, D2L Brightspace** and Employee Home. If you already have a STAR ID, even if it is from another institution, that is all you need! To reset your STAR ID password, please visit https://starid.minnstate.edu. Follow the instructions on the IT Solutions Help & Support page.

Note: *MavMAIL is the official communication method for Minnesota State University, Mankato. Official University notifications regarding your employment and University events will come to you through email. Check MavMAIL at least once every 24 hours for critial university information and updates.

**D2L Brightspace is our campus learning management system (LMS). For faculty, D2L Brightspace courses are used to share course materials, collect assignments, keep your gradebook, give tests, and more. All employees must complete Human Resources Training courses here.

 

How do I log in? You will log in using your Star ID credentials at https://mnsu.learn.minnstate.edu.
Note: Faculty hires will not have access until after your official hiring paper work has been completed and you are listed as the official Teacher of Record of a course. Contact your department chair about this.

How do I get my courses in D2L Brightspace? Follow these step-by-step instructions to request your courses. It takes 24-48 hours after request for the courses to appear in your account. Learn how your colleagues can share D2L Brightspace course materials with you.

How can I learn more or get assistance? Navigate to the campus D2L Brightspace information site for information on getting started, FAQs, and more! Visit or call in to a D2L Drop-in hour or contact the IT Solutions Center. Teaching [online] for the first time? Contact an instructional designer for individualized assistance.

Review Benefits Options If Available

Not all positions are eligible for benefits. If you are unsure as to what you are eligible for please contact our Benefits Specialist in Human Resources at 507-389-2015. If you are eligible, the Benefits Specialist will provide you with the necessary information about benefits and insurance after you have been entered into our system.

Get Keys If Applicable

Obtain building keys by getting a key authorization form from your dean or unit director and take the form to Security, located at 222 Wiecking Center, phone 507-389-2111.

Self Service Web Site

The Employee Self Service Web Site allows you to view/print your pay stub, enroll in insurance benefits (if eligible), enter your direct deposit and W4 information as well as access other payroll functions. You will receive an email with your User ID and password after your employment data has been documented in the personnel and payroll systems. Previous state employees already have a User ID and password. If you are unfamiliar with using the Self Service web site you may wish to review the introduction page listed above. You will continue to use the Self Service web site throughout your employment at Minnesota State Mankato; to update your direct deposit, W4, benefits, and various other functions.

When Will I Receive A Paycheck?

The Human Resources Calendars provide Pay Period End dates, Pay Days, when eTimesheets are due, and what Holidays are available per your bargaining unit's agreements.
